Job Reminders (Beta)

Find out how to let your Customers know you're coming

Job reminders are an easy way to notify your customers that they have an upcoming job scheduled. Servis' automated job reminders features allows your customers to stay updated via SMS, and or email. 

Important Information

To ensure your customers are not disturbed by reminders during odd hours, SMS reminders are only sent between the hours of 7am and 7pm.

During Beta, you will be restricted to a limited number of SMS reminders, dependant on the tier of your plan:

  • While on the Trial plan, you are limited to a maximum of 10 SMS messages.
  • While on the Premium plan, you are limited to a maximum of 100 SMS messages.

Setting up reminder templates

Reminder templates are managed within Settings > Job > Job Reminders.

For your convenience, some reminder templates have been set up by default. Be sure to view, alter and add to these to tailor your automated customer communication to your needs. 

Reminder templates in this section will automatically apply to jobs with automated reminders enabled.

Add a new reminder template

To add a new automated reminder, simply click the "Add another reminder" button, select a time for the reminder to send and click "Create".

A default message template will be generated once you have created the new reminder. You can view and edit the message by clicking "Edit template"

Edit schedule

To edit existing automated reminder schedule, click "edit" on the reminder, alter the time for the reminder, and select "save".

If you wish to undo any changes prior to saving, select "cancel" for the reminder to be restored to its last saved version. 

Edit the reminder template

To edit the contents of your automated reminder, select the 'Edit template' button.

This will allow you to edit the message contents, with pre-defined macros for customer, job, and organisation information such as Job start time, Customer name, and Organisation Email; A preview is generated for the message, however, these macros will be be automatically populated with specific information when the reminder is sent.

Delete 

You can delete any reminder templates by clicking the red trash can icon next to a reminder. 

Note that deleting a reminder template is final, and there is no way to reverse this action.

Enabling automated reminders

Servis' automated reminders can be enabled for one-off jobs and recurring job templates at the click of a button. 

Simply toggle the switch for SMS or Email reminders in the "Automated messages" section, as desired.

Viewing 'sent' and 'scheduled'  automated reminders

Automated message history is readily available for jobs and and recurring job templates, allowing you to see all messages that have been scheduled or sent for a job, or as a result of recurring job templates.

All messages scheduled for a job or recurring job template can be found in the "Automated messages" section for a job or recurring template, as seen above.

Note that reminders will only be scheduled when the job visit has been scheduled and assigned to a fieldworker.
