Invoice Reminders

Effortlessly notify customers of upcoming and overdue invoices.

Servis' Invoice Reminders facilitate automatic customer communication, allowing you to effortlessly notify your customers of any overdue invoices or upcoming due dates; both via SMS messaging, or Email.

Important Information

To ensure your customers are not disturbed by reminders during odd hours, SMS reminders are only sent between the hours of 7am and 7pm. Email reminders are excluded from these restrictions.

Depending on your plan, you will be restricted to a limited number of SMS reminders per month. You can view your active plan by clicking here.

Setting up invoice reminder templates

Reminder templates are managed within Settings > Invoice > Automated Reminders.

For your convenience, some reminder templates will be set up by default. Be sure to view, alter and add to these to tailor your automated customer communication to your needs.

Reminder templates in this section will automatically apply to invoices and invoice recurrences that have automated reminders enabled.

You may select a designated time for the invoice reminders to be sent to your customers, in their time zone. By default, this is set to 9am.

Add a new reminder template

To add a new automated reminder, simply click the "Add another reminder" button, select a time for the reminder to send, and lick "Create".

A default message template will be generated once you have created the new reminder. You can view and edit the message by clicking "Edit template"

When editing the template, a range of pre-defined macros are available to add customised information to your automated reminders. These include information about your organisation, such as email or phone number, and invoice and recipient information, such as due date, recipient name, invoice number and more.

Edit schedule

To edit existing automated reminder schedule, click "edit" on the reminder, alter the time for the reminder, and select "save".

If you wish to undo any changes prior to saving, select "cancel" for the reminder to be restored to its last saved version. 

Edit the reminder template

While editing, a generic preview is generated for the message, however, these macros will be automatically populator with specific information when the automated reminder is sent to the invoice recipient.

Delete

You can delete any reminder templated by clicking the red trash can icon next to a reminder.

Note that deleting a reminder template is final, and there is no way to reverse this action.

Enabling automated reminders

Servis' automated reminders can be enabled for invoices, and recurring invoice templates at the flick of a switch.

Simply toggle the switch for SMS or Email reminders in the Automated messages section, as desired.

Viewing 'sent' and 'scheduled'  automated reminders

Automated message history is readily available for invoices and recurring invoice templates, allowing you to see all messages that have been scheduled or sent for an invoice, or as a result of recurring invoice templates.

All messages scheduled for invoices or recurring invoice templates can be found in the "Automated messages" section for an invoice or recurring template, as seen above.

Note that reminders will only be scheduled when once the invoice has been issued to the customer. Moreover, it will not be sent if the invoice is marked as paid before the scheduled reminder time.
